The SCT PowerCAMPUS “3D” method of implementation, Discover, Define and Deploy, defines our approach to helping prospects and clients make good decisions and take the right actions for their institutions. No product is an exact fit for all consumers. Just as every school has a unique niche, the PowerCAMPUS solution has to be a good fit. We work together to implement a system that reflects your requirements and goals. We discover the essence of your operations, the established business practices, and work with you to identify new ways of doing business that take advantage of our innovative approaches and technologies. We define your current and new practices in terms of the administrative system setup. The detailed implementation plan is updated continuously to reflect your priorities and time frames. We deploy the solution through education, consulting and ongoing support with a combination of on-site and remote support options.
Once the implementation plan has been finalized and agreed to, installation and consulting sessions are scheduled. Installation of the software is performed at your site and may include all software products acquired through SCT PowerCAMPUS. At the time of installation, the technical support consultant will educate your system administrator regarding system and workstation setup.
Three databases will be installed: a training system complete with sample code tables and records, a database that will be used for conversions, and one that will become your ‘live’ operational database. SCT PowerCAMPUS strongly recommends that users learn and practice on the training system. The test conversion system may be reconfigured during training sessions with your code tables, ensuring consistent data between both systems.
Within the scope of the detailed project are major implementation milestones.
Contract Signing and Execution
SCT PowerCAMPUS receives the two signed original contracts and the initial payment as stipulated by the terms of the agreement. Upon receipt of the contracts, an authorized Officer of the company signs them and one original is returned to the institution.
Internal Kickoff Meeting at SCT PowerCAMPUS
Information about your institution is provided to the Implementation Team by our Sales Team. A Project Manager is assigned to your institution. That Project Manager becomes the institution’s primary point of contact until the Departmental Teams are introduced to their Project Consulting partners.
Implementation Planning Meeting at Client Site
This meeting, led by the SCT PowerCAMPUS Project Manager and the Client’s Project Lead is intended to launch the implementation process. A more thorough understanding of the implementation process and procedures is established and the foundations for the project timeline are put in place.
Client Documentation of Work Processes
This phase involves an introspective study that will document the critical business processes that will need to be addressed in the early phases of the implementation. Mandatory reporting requirements are documented in this phase of the implementation.
Hardware/Network Pre-Installation Checklist
Prior to the installation of the application software, our technology team will review your current or projected hardware configuration and validate that it meets our requirements. SCT PowerCAMPUS recommends that the client have us review the configuration of all servers and client workstations prior to purchasing new equipment. Many clients utilize this service before they even contract with SCT PowerCAMPUS for products and services. This validation process will also address operating system software and can consider peripheral equipment.
Initial Review of Detailed Project Plan
A draft project plan is presented for your review. We work to establish a mutually acceptable timeline that is practical in meeting your critical business needs.
Implementation Checklist – Final Detailed Project Plan
The finalized project plan is shared with you. This dynamic document will serve as the roadmap throughout the implementation.
Client Hardware/Network Installation & Setup
In most cases, the client is responsible for ensuring that this step takes place in a timely fashion and is performed in accordance with our published requirements. SCT PowerCAMPUS has a strategic business partner, that can assist our clients by providing computer systems that meet our requirements at very competitive prices.
Application Software Installation and System Administrator Training
A PowerCAMPUS Technical Consultant will come on campus to physically install the databases and application software for all components including those of our strategic alliance partners. During the installation process, the consultant will conduct an education session for your system support staff focusing on the administrative support of the application set. The PowerCAMPUS software is installed twice with a demonstration/testing database as well as the other databases mentioned earlier.
Decision Maker Application Overview/Consulting (Discovery Phase)
This initial consulting session is where we begin to make decisions regarding the setup of the system. We will introduce those individuals in a position to make system-related decisions to the issues involved in bringing an integrated system into production.
Building of Code Tables, Setflow Setups, & review of Client Work Processes (Re-Engineering Definition Phase)
This phase includes the articulation of your institution’s business practices, policies and procedures and the incorporation of them into your new administrative information system. Will the new system negate some of the ‘old’ practices? How can you leverage the new system to more efficiently serve your customers, applicants, students, faculty and alumni?
Conversion Data Mapping & Conversion Process Specifications
During the planning process, we establish the methodologies and guidelines for bringing your historic and operational data into the new system. Our consultants and conversion programmers can assist in or perform this service.
Initial Test Conversion(s)
For each system module, we will assist or perform test conversions. Often this is an incremental process of fine tuning the conversion accuracy and mapping.
Client Validation/Acceptance of Conversion Data
The client performs tests on the converted data to validate the integrity of the data and the conversion methodology and procedures.
Application Training
Once the code tables have been established for a major system module, application training may commence for end-users. Our trainers will walk your users through the software in detailed, hands-on sessions. Enrollment is generally limited to 12 people. Additional trainees may be added with SCT and client approval. Agendas and prerequisites for these courses may be found on our web site.
SCT PowerCAMPUS Application Trainers conduct classroom training for your users or trainers. Class lengths vary depending upon the scope and breadth of the module being considered. Training sessions are normally conducted at our Training Center in Newtown Square, Pennsylvania. The importance of having a viable test system in place on your campus will become critical at this phase of the implementation. It is vital that users have access to a system to work with and can continue to increase their level of comfort and command prior to ‘going-live’ on the new system.

Final Conversion/Go “Live” (Deployment Phase)
This is the final step in employing the production system. The code tables and rules have all been established, and the data has been converted and tested. The users are trained and ready to begin using the new system. As each system module is phased into production, you may choose to have SCT PowerCAMPUS consultants on-campus to ensure that all goes well when you flick the switch.
Continuous Methodology
For each major system to be put into use we employ the same implementation methodology and procedures as outlined in your project plan. It is a repetitive cycle of conversion, testing and training until each of the systems has been put successfully into production.
